Responsibilities:

  • Frontline Support: Be the friendly face and first point of contact for all office-related queries, creating a welcoming atmosphere for our diverse team.
  • Financial Stewardship: Take charge of assembling office budgets and cost management, ensuring optimal use of resources to deliver high-standard office services.
  • Facility Maintenance: Make sure the office space is always in good condition, liaise with the landlord, and ensure timely payment of all invoices. Keep a keen eye on office supplies, groceries, snacks, and machines maintenance.
  • Employee Engagement: Act as a liaison between employees and the accounting company, managing essential aspects like vacations, time sheets, and contractor invoices. Collaborate with people managers to enhance the overall workplace experience.
  • Health and Safety: Establish and implement comprehensive workplace health and safety guidelines, prioritizing the well-being of our team.
  • Event Coordination: Assist in planning and organizing engaging team events, corporate gatherings, and international travel. Bring our diverse team together with well-thought-out online get-togethers.
  • Equipment Management: Facilitate a seamless onboarding experience by ordering office equipment for new joiners. Collaborate with our IT team to address any issues with broken equipment promptly.
  • Stebby Account Management: Efficiently manage our Stebby account, ensuring our team has access to the best wellness benefits.

 

Requirements:

  • Language Skills: Proficient in English to facilitate communication with our international team and Swiss headquarters.
  • Responsibility and Detail-Oriented: Demonstrate a high sense of responsibility and meticulous attention to detail, particularly when handling confidential information.

It will be a plus if you have:

  • Estonian Language Skills: Fluent in Estonian to enhance local communication and engagement.
  • Financial and People Management Experience: Previous experience with payroll, invoices, and people management will be highly valued.
  • Event Coordination Experience: Previous experience in organizing team events in Estonia will be considered an asset.
